Chief of Staff / Executive Assistant to the CEO

PRIMARY FUNCTION

AIDS Services of Dallas (ASD) is seeking a highly organized and experienced Chief of Staff to provide strategic support to the President / CEO. This role is pivotal in ensuring the smooth operation of the executive office, facilitating communication, and enhancing overall organizational efficiency. The ideal candidate will have a strong background in office management, with a plus for operations experience, and be skilled in using technology to drive productivity. The Chief of Staff will also play a key role as an Integrator within our Entrepreneurial Operating System (EOS) framework.

DUTIES AND RESPONSIBILITIES

  • Executive Support: Serve as the primary point of contact for the CEO, managing daily operations, scheduling, and communications. Ensure that the CEO’s time is effectively managed, prioritizing critical tasks and initiatives.
  • Strategic Planning: Assist the CEO in developing and implementing strategic plans, driving organizational goals, and ensuring alignment across all departments.
  • Office Management: Oversee the day-to-day administrative functions of the executive office, including office supplies, equipment maintenance, and office space management. Ensure a productive and efficient working environment for all staff.
  • Administrative Coordination: Support the CEO in overseeing administrative operations, including coordination with various departments to ensure seamless execution of initiatives. Operational experience is a plus.
  • Technology Utilization: Leverage technology to enhance office efficiency and streamline processes. Proficiency in Microsoft Office Suite, Google Workspace, project management tools (e.g., Asana, Trello), and CRM systems (e.g., Salesforce) is essential.
  • Integrator Role: Act as an Integrator within the EOS framework, ensuring that strategic objectives are met and that the leadership team is aligned and working cohesively.
  • Financial Oversight: Assist with budget development and financial planning, including tracking expenses, managing financial records, and ensuring adherence to budgetary guidelines.
  • Project Management: Manage and coordinate special projects, events, and initiatives, ensuring that they are completed on time and within scope.
  • Communications Management: Facilitate communication between the CEO and internal/external stakeholder, including staff, board members, and donors.
  • Technology & Efficiencies: Utilize advanced computer programs to optimize office management and operations, including but not limited to Microsoft Office, Google Suite, Asana, Trello, and CRM systems.
  • Liaison Role: Facilitate effective communication between the CEO, board members, staff, volunteers, and external partners.

QUALIFICATIONS

  • Experience: Proven experience in office management, executive support, or a similar role, preferably within a nonprofit organization. Operations experience is a plus.
  • Technical Proficiency: Strong skill in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, project management tools (Asana, Trello), and CRM systems (Salesforce)
  • Leadership: Ability to manage and coordinate multiple tasks and projects simultaneously, with strong attention to detail and a proactive approach to problem-solving.
  • Communication Skills: Excellent verbal and written communication skills, with the ability to effectively interact with a wide range of stakeholders.
  • Cultural Competence: Sensitivity to and experience working with culturally, racially, and sexually diverse populations.
  • Other Requirements: Valid driver’s license and the ability to lift, push, or pull up to 30 pounds.

WORK HOURS:
Regular office hours are 8:30 a.m. to 5:00 p.m. Monday through Friday.

SALARY RANGE:

$65,000.00 – $75,000.00 per year
